Calance LLC (“Calance,” “we,” “us,” or “our”) provides this Privacy Policy to describe how personal information is collected, used, shared, retained, and protected in connection with our IT staffing and recruitment services. Coverage extends to visitors of www.calanceus.com (the “Site”), candidates applying for IT roles, clients engaging our staffing services, and individuals who receive communications from Calance by email, phone, or SMS. Continued use of the Site, or participation in our staffing services, confirms that this Privacy Policy has been read and understood. Any disagreement with the practices described here should be resolved before personal information is submitted to Calance, including by discontinuing use of the site.

1. Information We Collect

We collect the following categories of personal information:

  • Full name
  • Email address
  • Phone number, including mobile number if you opt in to SMS
  • Job title
  • Company name, address, and industry (where relevant to staffing or services)
  • Resume, work history, skills, and qualifications
  • Professional website or LinkedIn profile, if you share it
  • Postal address, where relevant to a transaction or engagement
  • The content of any message, form submission, attachment, or document you send us

SMS Opt-In and Consent Data

If you opt in to receive SMS or text messages, we may also collect:

  • Your mobile phone number
  • Date and time of opt-in
  • Source of opt-in (such as a web form, written consent, or recorded verbal consent provided to a Calance recruiter)
  • The specific SMS program or communication category you subscribed to
  • Records of any subsequent opt-out requests

  • Through verbal consent provided to a Calance recruiter, documented with time, date, and program details
  • From publicly available professional sources where you have made your information available for career or recruiting purposes

2. How We Use Your Information

We use personal information for the following purposes:

IT Staffing & Recruitment

  • Evaluating job applications, candidate qualifications, and suitability for open IT roles
  • Communicating with you about job opportunities — including roles you have not previously applied to, provided you have generally opted in to receive such messages — across contract, contract-to-hire, direct placement, and project-based IT positions
  • Scheduling and conducting interviews, assessments, and follow-ups
  • Providing application and interview status updates
  • Supporting active engagements between you and Calance or Calance's clients
  • Maintaining candidate records for future opportunities where you have consented to ongoing consideration

Service Delivery & Customer Support

  • Delivering the IT services, staffing solutions, and support you have requested
  • Responding to inquiries submitted through Site forms
  • Managing client and contractor relationships
  • Sending transactional, operational, and service-related communications

SMS Communications (as described in Section 3)

  • Sending recruiter-candidate outreach messages about IT job opportunities
  • Providing application and interview updates
  • Delivering customer service and engagement-related communcommunications for active placements

We do not use SMS opt-in data for general marketing, newsletter distribution, or promotional purposes unrelated to IT staffing and recruitment.

Site Improvement & Analytics

  • Personalizing your experience on the Site
  • Analyzing Site usage and improving our services
  • Maintaining the security and functionality of the Site

3. SMS / Text Messaging

What Our SMS Program Does

Calance operates SMS programs exclusively to support IT Staffing & Recruitment communications. This includes:

  • Recruiter-candidate outreach about IT job opportunities, including contract, contract-to-hire, direct placement, and project-based roles
  • Messages about open positions that match your profile and qualifications, including roles you have not previously applied to
  • Application and interview status updates
  • Interview scheduling and confirmations
  • Customer service and support for active staffing engagements

How You Opt In

You will only receive SMS messages from Calance if you have expressly opted in through one of the following methods:

  • Submitting your mobile number through a Site form that explicitly references SMS consent (such as www.calanceus.com/careers/sms-optin(opens in new tab))
  • Giving written consent on a Calance-supplied paper or digital intake form
  • Giving recorded verbal consent to a Calance recruiter who has documented the time, date, and specific SMS program

Message Frequency

Message frequency tracks job opportunities and stage of engagement. Recruitment outreach typically runs 1 to 4 messages per month, with higher frequency possible during active interview processes or active staffing engagements.

Message and data rates may apply. Check with your mobile carrier for plan-specific details.

Consent to receive SMS messages is not a condition of employment, applying for any job, or any other transaction with Calance.

How to Opt Out

Reply STOP to any Calance SMS message at any time to unsubscribe. You will receive one final confirmation message confirming your opt-out, and you will no longer receive SMS messages from that program.

SMS Data Protection Commitments

  • Your mobile information will not be sold or shared with third parties for promotional or marketing purposes.
  • All text messaging originator opt-in data and consent information is excluded from any data sharing arrangements.
  • We will not share your SMS opt-in or consent status with any third party for purposes unrelated to providing the SMS messaging services.
  • We may share your personal data, including your SMS opt-in or consent status, only with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and other vendors who assist us in the delivery of text messages.
  • SMS consent data is collected and maintained separately from other personal information.

4. Data Sharing

We do not sell personal information. We may share personal information with:

  • Service Providers: Third-party vendors who assist us in delivering our IT staffing and recruitment services, IT operations, website hosting, data storage, and messaging delivery (including SMS platform providers and carriers).
  • Clients: With your consent, we may share your professional qualifications and candidacy information with client companies for whom we are staffing IT roles.
  • Legal & Compliance: When required by law, legal process, or to protect the rights and safety of Calance, our clients, candidates, or others.

We require all service providers to adhere to data protection obligations consistent with this Privacy Policy.

We retain personal information for as long as necessary to fulfill the purposes described in this Policy, unless a longer retention period is required by law. We implement reasonable administrative, technical, and physical safeguards to protect your personal information.
