San Diego Unfied School District

The San Diego Unified School District (SDUSD) is the second-largest school district in California, and is one of the top-ranked urban school districts in the US. As they expand to support a growing population, and upgrade to support modern educational needs, the Facilities, Planning, and Construction group strives to ensure that taxpayers get their money’s worth from every dollar spent. So it is critical for SDUSD to not only manage projects well, but to also account for the various sources of funding and how the monies are used.
Calance was first introduced to SDUSD in 2010 at OpenWorld, during a presentation from Oracle on integrating PeopleSoft and P6. At the time, only Calance had the capabilities to integrate PeopleSoft 8.4 with Primavera P6 and Contract Management. Since then, Calance has worked closely with SDUSD FPC on a number of projects including:

  • Streamlining Contractor Payments with online, simplified payments tied to PCM and SharePoint
  • Integration of WBS-Level Budgeted, Committed, and Actuals between P6 and PCM
  • A tool for copying contracts and related documents across projects in PCM
  • Integrating Unifier with PeopleSoft using Primavera Gateway

The integration with PeopleSoft utilizes eSettlements, a version of the Quick Voucher upload process.

Jefferson County Public Schools

Technology: PCM, P6, PeopleSoft, Dimension
Jefferson County, simply called JeffCo, is the largest school district in Colorado.  In 2012 Calance was invited to integrate Primavera Contract Management, P6, and PeopleSoft for JeffCo.  We used the Dimension Integration Framework to create a robust system for integrating data among these systems.

New York City School Construction Authority

NYCSCA is the construction arm of the largest school district in the nation, covering the 5 boroughs of New York. We have a long-term relationship with the SCA and have worked on a number of projects for them since 2008, including:

  • Turnover Bid System (TOBSS)

The SCA is a major user of Primavera Contract Management, and have customized it greatly over the years to meet their very unique needs.

Wake County Public School System

Technology: PCM, E-Business Suite Dimension
Located in Raleigh, North Carolina, WCPSS is among the top 20 largest school districts in the US, and also one of the fastest growing. Their Facilities, Design, and Construction group is tasked with making sure that students have safe, modern facilities where they can excel. Calance has worked with WCPSS since 2009, when they were asked to integrate Primavera Contract Management with Oracle E-Business Suite. Over the years Calance has assisted with upgrades to the integrations as Wake County has upgraded both PCM and EBS. We have also assisted with maintaining test environments, report writing, and migrating servers.

Los Angeles Unified School District

Technology: P5/P6, Expedition, Dimension, in-house Accounting system, custom application development
As of 2010, LAUSD was ranked the second largest school district in the US. Its 2014 budget was $12B. We worked with the New Construction group, which oversaw construction of new schools as well as refurbishment of existing properties. Our work with LAUSD ran from 2004 through 2010 and included:

  • Automating Management of Baselines in Primavera P6
  • Integrating Primavera Contract Management version 8 with an in-house Accounting system
  • Creating web sites for managing and updating data
  • Creating and maintaining reports, both web-based and within PCM
Oil, Gas, and Mining

ANABEEB

Technology: P6, JDE, Gateway
Arabian Pipeline & Service Co Ltd, or ANABEEB, leads the Middle East in providing industrial services to support refining, petrochemical and other process industries. They strive to remain a leader in technology as well, and are focused on keeping their technical infrastructure state-of-the-art. To assist them with this goal, ANABEEB, hired Calance to implement a high-availability instance of Primavera P6 EPPM 15.1 in the spring of 2015, running on a full Oracle Red Stack. This system, hosted at their Dammam Data Center, will allow ANABEEB to plan their work, including turnarounds, where accurate scheduling of critical personnel and equipment is crucial to getting the job completed effectively. Current project work involves integrating P6 with JD Edwards using Primavera Gateway.

Devon Energy

Technology: PCM, P6, QByte FM, Business Objects, Smart Plant Materials
Devon energy is a leading independent oil and gas exploration and production company. Calance was brought into the Thermal Heavy Oil division of Devon Canada to help optimize the use of P6, PCM, and QByte FM systems, streamlining data entry and reporting. This was mission critical as Devon was completing their first large-scale SADG project, Jackfish 1, in Alberta. The lessons learned during that project were applied to the construction of the subsequent Jackfish facilities. Calance developed a streamlined web interface for Devon to help them quickly and easily enter Purchase Order information and tracking Incurred Costs and Cost at Completion on a monthly basis. These systems tied directly into Primavera Contract Management, while providing added functionality such as Change-on-Change and linking costs to AFEs.
Other projects with Devon included:

  • Training internal team to create integrations between PCM and Smart Plant
  • Installing Primavera P6 and subsequent upgrades

Barrick Gold

Technology: Primavera P6
Barrick Gold, with headquarters in Toronto, is a major mining company, focused on gold. With major projects spread throughout the world, and with sites ranging from undeveloped land holdings to fully operational mines, Barrick relies on Primavera P6 EPPM to manage their portfolio of assets. Calance was invited to Barrick to help them better manage Primavera P6, moving them from individual use of P6 Professional to enterprise use of P6 EPPM.

Concremat

Technology: Primavera P6, BlueCielo Meridian Enterprise
Concremat is the second largest engineering company in Brazil, providing services in infrastructure, power and energy. Calance was invited to Rio de Janeiro to meet the team and come up with the architecture to tie together their engineering schedules in Primavera P6 with their detailed project plans in Blue Cielo’s Meridian ECM software.

Research Organizations

US Antarctic Research Program

Technology: Primavera P6
One of our most interesting clients is the US Antarctic Research program. Unfortunately they have not yet needed on-site assistance at the South Pole Station, we but we’re keeping our hopes up! USAP is responsible for supporting scientific research in Antarctica. Such research includes studying populations of marine and land animals, climate research, astronomy, and astrophysics. They do not conduct the research themselves, but make all of the research possible by arranging delivery of materials and people, construction of temporary and permanent housing, building and maintaining airstrips, basically everything that people need not only to do research, but also to simply survive in such a demanding climate! Deliveries to the South Pole are neither frequent nor easy. So USAP relies on accurate planning ahead of time. It is crucial to know how many beds are needed. And if a one-ton telescope needs to be installed on the ice, it must be ready on time to be loaded onto one of the the few large ships that can deliver such cargo. Not surprisingly, USAP relies on Primavera P6 to make these plans for delivering and maintaining goods and people. Calance was brought into USAP to upgrade P6 and get them on the latest version of the software. Because of the nature of the work done, the servers had to be locked down and secured very well, utilizing such measures as SSL over LDAP. While not rocket science in itself, getting a P6 implementation up to such a level of security was no picnic in the snow. But working closely with the IT team at USAP, we were able to make it happen and hand off support and maintenance to that team.

National Ecological Observatory Network (NEON)

Technology: Primavera P6
The National Ecological Observatory Network (NEON) is a research organization dedicated to measuring and collecting long-term data on continent-wide ecological phenomena.  NEON uses Primavera P6 to manage projects.Calance was invited to NEON to help them migrate and update their Primavera P6 systems.

Northrop Grumman

Technology: Primavera P6
Northrop Grumman is a global aerospace and defence technology company based in Hawthorn, CA. They use a variety of project scheduling tools, including ones built in-house and commercial leaders such as Primavera P6. Calance helped NG to create a system for comparing scheduled between P6 and other systems, so that different groups could manage schedules in their own best tools, yet the schedules could easily be synchronized.

Massachusetts Port Authority (Massport)

Technology: Primavera P6, PCM, PeopleSoft, Hyperion, custom Excel workbooks
The Massachusetts Port Authority, or Massport, is responsible for operating and maintaining ferries, cargo ports, and airports in New England. Their most famous responsibility is Logan Airport, one of the busiest airports in the US. The Capital Programs group at Massport is responsible for maintaining and improving infrastructure of a place that literally never sleeps. This group builds terminals, paves runways, installs cargo cranes, and builds tunnels and parking structures to provide Massachusetts with world-class infrastructure. Calance partnered with Massport in 2013, tasked with integrating Primavera PCM, Oracle Hyperion, and PeopleSoft.

The project also involved translating all of the costs in PCM from an old cost code structure to a new one which was more aligned with their business needs, and more easily mapped into PeopleSoft. Since going live with the integrations in 2014, Calance has been assisting with tasks such as writing reports and maintaining systems.

AEGION

Technology: Primavera P6, PCM, JD Edwards Enterprise One, Oracle CRM On-Demand, custom Estimating tool 
Formerly known as Insituform, Aegion is a global leader in infrastructure protection, particularly in the realm of protecting and rehabilitating sewer, water, energy, and mining pipeline systems, buildings, bridges, tunnels, and waterfront structures.
Aegion manages a large number of projects across many divisions. Prospects are tracked in Oracle CRM On Demand, and once won, brought into P6, PCM, and JD Edwards. Aegion heavily relies on Primavera P6 to plan and execute their work and Primavera Contract Management to track budgets and cost, as well as to approve subcontracts, change orders, budgets, and payments. These items approved in PCM are validated and sent into JD Edwards using Calance’s Dimension Integration Framework. The full project lifecycle is tied together with Dimension, starting from Oracle CRM On Demand, and ending with project close out in JDE propagating to P6 and PCM.

Exposition Metro Line Construction Authority

Technology: Primavera PCM, P6, SharePoint, Silverlight, Hosting
The Exposition Metro Line Construction Authority (Expo) is an independent transportation, design, and construction agency created in 2003 to award and oversee the completion of a 15.2 mile light rail system from downtown Los Angeles to Santa Monica. Phase 1 was completed in 2012, and Phase 2 will complete in 2016. This system is built through a heavily populated area, crossing a variety of municipalities.
Calance was brought into the project in 2004, and we were met with rooms of boxes of documents, a stack of folders, and an excel worksheet which tracked which documents were in which folder at any given time, and to whom there were routed. Our task was to eliminate those boxes and replace the system with a fully electronic system which would allow contractors to directly upload those documents, and also allow for electronic routing and approval.
Calance solved this problem (and eliminated those boxes and folders) by creating a special web-based user interface which allowed contractors to see only their own project data, and upload Requests for Information, Requests for Change, Submittals, Drawings, Cost Schedule Proposals, Notices, Non-compliance Notices, and Letters. The interface was streamlined to ensure that data was entered consistently and that the minimal amount of information needed to be manually entered. Validations ensured that all required data was entered, and that supporting documentation in the form of file uploads were entered as well. The uploaded data is sent into Primavera Contract Management, and the documents are uploaded to SharePoint and linked into PCM. All parties are notified by email when documents are uploaded, and custom routing in SharePoint ensures that the documents are routed the appropriate parties for review and approval.

Metro Gold Line Foothill Extension Construction Authority

Technology: Primavera PCM, P6, SharePoint, Silverlight, Hosting
The Metro Foothill Extension Construction Authority (Foothill) is an independent transportation, design, and construction agency created in 1998 oversee the creation of a light rail system running from downtown Los Angeles and ultimately to Claremont. The first phase to Pasadena completed in 2003, and the next Phase to Azusa was completed in 2015.
Calance was brought into the project in 2005, with the goal of streamlining how contractors provided documents to the authority, using a simplified web interface, much like the one described above for Expo. This electronic system allows contractors to directly upload documents into Primavera Contract Manager and SharePoint. This interface allows contractors to see only their own project data, and upload Requests for Information, Requests for Change, Submittals, Drawings, Cost Schedule Proposals, Notices, Non-compliance Notices, and Letters. The interface ensures that data is entered consistently and that the minimal amount of information needed to be manually entered. Validations ensure that all required data is entered, and that supporting documentation in the form of file uploads were entered as well. General Contractors

Lobar, Inc

Technology: Primavera PCM, P6, Timberline Accounting (Sage 300), Timberline Estimating, custom apps
Lobar is a construction services firm providing services for the public sector at local, state, and federal level in the US Northeast. They use a number of systems to manage projects, including Oracle’s Primavera P6 and Contract Management, Timberline Estimating, Timberline Accounting, and Microsoft Exchange.
Lobar engaged Calance in 2009 to implement Dimension integrations between Timberline and PCM. Like many other Dimension customers, Lobar needed the standard set of integrations: Projects, Vendors, Cost Codes, Budgets, Subcontracts, Purchase Orders, and Invoices. But keeping data consistent between these applications, reducing duplicate data entry, and streamlining project management is a key requirement for this fast-growing company. In 2009 they set out to integrate these different systems with the help of Calance. But they also wanted to automate more processes, and over the years have added quite a few new processes to the integrations. This included tying in Insurance, replicating Companies and Contacts into Microsoft Exchange, tying their project lifecycle with Timberline Estimating, creating an application tied in with estimates which sends those estimates our for bid to subcontractors, and implementing a system for ensuring that all required project compliance is met. The flexible nature of Dimension allows for such customizations to be added fairly easily, and this system allows Lobar to manage a large and growing number of projects efficiently.

ValleyCrest Companies

Technology: JD Edwards EnterpriseOne, Primavera Contract Management, custom systems
ValleyCrest is the largest integrated landscape company in the United States. Their landscape division creates beautiful grounds in new developments such as shopping centers, housing developments, universities, amusement parks, and sports arenas. Wherever you see new trees planted, new sod laid, or gardens of flowers, you can bet that ValleyCrest is involved. Calance has worked on a number of projects for ValleyCrest, including developing custom software for estimating, dispatch, and contract management. Our proudest accomplishment was integrating their JDE World system with Expedition 7 in 2001. This was our first integration project, and this system is still in use as of 2015, integrating hundreds of projects on a daily basis, ensuring data integrity and reducing manual data entry.

Public Storage

Public Storage is one of the largest self-storage companies in the world, with holdings in the US, Canada, and Europe. Their Real Estate Group is responsible for managing acquisition and development of new facilities, as well managing the construction needs of existing sites. Due to their widespread holdings, the workforce is spread out and requires the ability to communicate and to manage projects remotely while maintaining the project control processes required of a publicly traded company.
Public Storage first engaged Calance in 2004. The initial project was to set up a new instance of Expedition 9, migrate data from an earlier version, and then integrate this with JD Edwards using the Dimension framework. This project was quickly completed. After that PSI has engaged Calance in a number of other projects over the years including system upgrades and migrations, reporting, and merging in project data from acquired companies. As Public Storage continues to grow and change, Calance remains a steadfast partner assisting them as needed to get the best value out of their project controls systems.

The Hanover Company

Located in Houston, Texas, the Hanover Company is a private real estate company specializing in developing high quality luxury multi-family properties nationwide.
Hanover first engaged Calance in 2006 to install the standard Dimension Timberline-PCM integrations. Since then Calance has assisted from time to time in systems upgrades, moving their systems to a hosted solution, and other similar work. In 2015 Hanover began migrating off of PCM in favor of Procore. Calance is currently engaged in assisting with this process, adapting a subset of the integrations to work with Timberline and Procore.

The Widewaters Group is a real estate development and management company which develops retail, hospitality, and office projects throughout the US and Canada. They use Calance’s Dimension Framework to integrate Primavera Contract Management with MRI Software.

BJC Healthcare is one of the largest non-profit healthcare organizations in the United States. Their planning, Design, and Construction group invited Calance to asses their business processes and recommend ways to streaming how PCM and PeopleSoft could be used together.

Headquartered in Indianapolis, IN, Duke Realty builds and owns commercial real estate throughout the Eastern United States. They used Calance’s technology to Timberline and Primavera Contract Management.

Wyndham Worldwide

Technology: Primavera Contract Management, PeopleSoft, Sabrix, Maxwell
Wyndham World (WYN) is one of the world’s largest provider of hospitality products. Whether building a new resort in Tonga, or refurbishing condos in Aspen, managing costs is key. To help manage costs and save on taxes, Wyndham uses an internal purchasing company. While this practice saves money, it can make the workflow for project controls more complex. Wyndham uses Oracle Primavera Contract Manager and PeopleSoft Projects to manage project costs, PeopleSoft Enterprise for financial management, Maxwell for processing AR, and Sabrix for managing taxes. The challenge was to make sure that the various project stakeholders could manage their disparate responsibilities without having to jump from system to system. In 2006 Calance delivered a set of integrations which streamlined these processes so that the disparate systems could communicate smoothly.
