This Privacy Policy explains how Calance collects, uses, shares, retains, and protects personal information when you visit www.calanceus.com (the "Site"), interact with our services, respond to our marketing, apply for a role with us, or receive communications from us by email, phone, or SMS.

By accessing or using the Site or services, you confirm that you have read and understood the Privacy Policy. If there is disagreement with the practices described in this Policy, the Site should not be used and personal information should not be submitted to Calance.

1. Information we collect

Personal information you provide directly

  • Phone number, including mobile number if opting in to SMS communication

  • Business website or LinkedIn profile, if you share it

  • IP address and approximate geolocation derived from it

  • Browser type, version, and language
  • Operating system and version
  • Referrer URL, including paid ad campaign source, UTM parameters, and ad click ID
  • Date, time, and duration of website visits

Behavioral information

  • Pages visited, scroll depth, and click paths on the Site

If an application is submitted through careers@calance.com, recruiting@calance.com, calancejobs.com, jobs.calance.com, LinkedIn job postings, or any other recruitment channel operated by Calance, the following information may be collected:

  • Resume or CV
  • Employment history and educational background
  • Professional certifications
  • References and their contact details, as provided by the applicant
  • Right-to-work and visa status information
  • Background check, DBS, and verification results conducted by authorized third-party vendors with consent
  • Pre-employment assessment results
  • Interview notes prepared by recruiters and hiring managers

Salary expectations and compensation history, where permitted by applicable law  

SMS opt-in and consent data

If SMS or text communications are opted into, the following information may be collected:

    • Mobile phone number
    • Date and time of opt-in
    • Source of opt-in (such as a web form, written consent, or recorded verbal consent provided to a Calance recruiter or representative)
    • The specific SMS campaign, program, or communication category subscribed to
    • Records of any subsequent opt-out requests

This information is maintained separately from other categories of personal information. Please refer to Section 5 for details on how this data is protected.

Information collected from third parties

Information may also be obtained from third-party sources, including:

    • LinkedIn, when information is submitted through a Calance LinkedIn Lead Gen form
    • Public business directories for B2B sales prospecting
    • Referral or co-marketing partners, where consent has been provided
    • Service providers that enrich incoming leads with firmographic data

2. How we use your information

We use personal information for the following purposes:

Lead generation, sales, and marketing

  • Responding to inquiries submitted through site forms
  • Sending newsletter, webinar invites, eBooks, and product updates if opted in
  • Running targeted advertisements on LinkedIn, Meta, Google, and similar platforms
  • Personalizing your experience on the Site
  • Measuring marketing campaign performance

Recruiter outreach by SMS

If SMS communications have been opted into, Calance recruiters may send text messages regarding relevant job opportunities, interview scheduling, application updates, and other recruitment-related communications. Additional details are provided in Section 5.

Recruitment and hiring

  • Reviewing job applications and candidate qualifications
  • Coordinating interviews and recruitment communications
  • Conducting background, verification, and reference checks with consent, where applicable
  • Communicating offer details and employment-related information
  • Retaining records of candidates not selected for a role for a defined period, as described in Section 13

3. SMS / Text Messaging

What our SMS program does

Calance operates SMS programs to support recruiter-candidate outreach, customer service for active engagements, and program-related communications. You'll only receive SMS messages from Calance if you've opted in by:

  • Submitting your mobile number through a Site form that explicitly references SMS consent, or
  • Giving written consent on a Calance-supplied form, or
  • Giving recorded verbal consent to a Calance recruiter who has documented the time, date, and program

Opt-out

Reply STOP at any time to any Calance SMS to opt out. You'll receive one confirmation message and then no further marketing or recruiting SMS from that program.

SMS data protection commitments

Your mobile information will not be sold or shared with third parties for promotional or marketing purposes. All categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you the services of that campaign. We may share your Personal Data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and any other vendors who assist us in the delivery of text messages.

What we never do

  • We don't sell mobile information or SMS opt-in data
  • We don't share SMS opt-in data with third parties for purposes unrelated to delivering the SMS service.
  • We don't share resume or candidate data with clients without your prior consent.

5. How we protect your data

We apply administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, and loss.
